SUMMARY: Coordinate the substitute use and arrangements for the school district. Assist with the leave control for the school district.

- Manage the absence management system, including the technical and functional aspects of the system
- Responsible for trouble shooting daily operations of the absence management system; tracking leaves, assisting school staff with creating, canceling, and editing employee absences.
- Responsible for assisting schools in finding substitutes for absences and vacancies that exist and striving to maintain a consistent learning/working environment.
- Assist all staff with questions about leave allocations and the use of leave.
- Audit and maintain accurate leave usage and balances for all staff in the absence management system. Provide Human Resources and Finance with reports on the accrued leave balances.
- Provide support and training to administrators and administrative assistants in the use of the absence management system.
- Conduct weekly substitute orientation sessions. Develop and update all substitute services forms and orientation materials including the substitute handbook and newsletter.
- Maintain current and accurate substitute personnel database. Responsible for the 6-month inactivity report; the letter of assurance project, and other substitute services related duties or projects.
- Maintain communication between Human Resources and Payroll as it pertains to substitute pay rates, time sheets, and leave payouts due at the time of employee separation.
- Coordinate the recruitment, processing, training, placement and separation of substitutes.
- Develop creative strategies for recruiting and maintaining qualified substitute pool.
- Assist the employment coordinator with employee services related duties including but not limited to: compiling and inputting employee data in the Human Resources data system; creating, running, and analyzing report data; processing new hire paperwork.
- Assist the employment coordinator with maintaining the recruitment data base for all staff.
- Assist with preparing advertisements for recruiting staff.
EDUCATION AND TRAINING: High school diploma or equivalent.
EXPERIENCE: Experience in human resources is preferred but may not be necessary for hiring. Experience in office settings and previous customer service experience preferred.
CERTIFICATES, LICENSES, & REGISTRATIONS: Criminal background check required for hire. Must maintain a current commission to be a notary public in Colorado; commission required within two months of hire.

MATERIALS AND EQUIPMENT OPERATING KNOWLEDGE:
- Operating knowledge of and experience with personal computers and peripherals.
- Operating knowledge of and experience with Microsoft Office, email/calendar systems, financial software, publishing software.
- Operating knowledge of and experience with typical office equipment, such as telephones, copier, fax machine, E-mail, etc.
- Ability to learn and work in a variety of databases.
